Release and Waiver:

Everyone at the Groesbeck Grand Prix event must sign a release and waiver form.  Participants, guests, and spectators must sign the waiver when picking up credentials at registration.  For persons who are under 18 years old, a Minor Waiver must be used and signed by a parent/guardian.


Safety & Security:

Hosting a safe event is our top priority and we are counting on all of our participants, vendors, and guests to help make the Groesbeck Grand Prix as safe as possible. To ensure the safety and security of this event please follow all directions from staff, course workers, emergency responders, and law enforcement. Follow all posted signs and do not climb on or over any fences, all open areas of the event venue will be accessible via clearly marked entrances. Any area beyond a fixed or temporary fence is off-limits and may be unsafe. Report any suspicious or unlawful activity immediately to show staff or uniformed law enforcement. Minors must be accompanied by a parent or guardian at all times. While security and show staff will be on-site overnight, all participants, spectators, and vendors assume responsibility for their own property while attending the Groesbeck Grand Prix. EMS and a dedicated Ambulance will be on-site during all motorsport activities.


COVID-19: 
We know many are still concerned with COVID-19 and we want to assure everyone that we are taking precautions to ensure that everyone feels safe and comfortable. To make sure that the event doesn't get overcrowded we have limited the number of ticket sales this year and required pre-purchased tickets. We will be encouraging social distancing and are making sure there is hand sanitizer available. In our VIP areas, we have limited seating areas, are only offering pre-packaged food and beverages in single-serving containers, and are encouraging people to wear masks when in close proximity of others. We will also be announcing awards at the event, but will limit the number of interaction participants will have at the closing event reception.
Awards:
We will be announcing awards and awarding specific awards on-site, but the majority of awards will be sent to winners after the event once the engraving and customization is done.

Code of Conduct:
The Groesbeck Grand Prix is committed to creating a safe, comfortable, and enjoyable experience for participants and attendees. We want anyone attending to enjoy the experience in a responsible fashion. When attending an event you are required to refrain from the following behaviors:
  • Behavior that is unruly, disruptive, or illegal in nature.
  • Intoxication or other signs of impairment that results in irresponsible behavior.
  • Foul or abusive language or obscene gestures.
  • Failing to follow instructions of Groesbeck Grand Prix volunteers and security personnel.
  • You are not permitted to display or sell any materials that are deemed by the Groesbeck Grand Prix to be offensive, discriminatory, or that convey hate speech of any type.
Tickets for the Grand Prix:
All attendees must hold a general admission wrist band or VIP badge. Tickets must be prepurchased on at GroesbeckGrandPrix.com due to COVID-19 we have limited the number of total attendees who are allowed on site for the event. Children who are under 15 are admitted at no charge, however, a $0 ticket still must be purchased and a minor waiver must be signed by a parent or guardian.
What spectators CAN bring:
Sunscreen, cameras, coolers, picnic baskets, ponchos, blankets, folding chairs, baby strollers. Food and refreshment stands are available if you wish to purchase on-site.

What spectators CAN NOT bring:
Spectators are not permitted to bring pop-up tents, canopies, camping tents, or beach umbrellas. Frisbees, footballs, soccer balls, or other sports equipment are also not permitted due to the risk of hitting spectators and show cars. Absolutely no weapons or fireworks are allowed. No pets are allowed.

Parking:
Spectator parking is free and available on the main grounds of Old Fort Parker.


Handicap Parking & Accessibility:
The small paved lot at Old Fort Parker handicap accessible, but with limited parking available. To be directed to handicap parking, please have your placard on display so staff can direct you to the correct parking area. While there is handicap parking available, be aware that the event is held in a park with mostly grass fields. 

Lost & Found:
 Lost items should be turned into the registration desk, the Groesbeck Grand Prix, its sponsors, and partners are not responsible for any lost, stolen, or damaged personal property.

Cash /Credit Card Machines:
There are no ATM cash machines on the premises of Old Fort Parker. While some vendors may accept credit cards, not all of them do.
Tents:

Tents and canopies are only permitted if you are an official sponsor, a vendor, or a driver using a tent or canopy in the pit area. Spectators are not permitted to bring pop-up tents or beach umbrellas as they block views and can become a safety hazard in windy conditions. 


Rain or Severe Weather:

There is no rain date for the Groesbeck Grand Prix. Because of the time constraints and street closures, we are unable to reschedule this event due to weather and will hold the event rain or shine with an adjusted schedule during the two days that the event is scheduled. 


Pit Access Policy: 
Participants, team members, spectators, and staff with the following credential badges will be allowed in the pit area:
  • VIP All Access
  • Media
  • Staff
No unaccompanied minors will be allowed in the pit area at any time.
 
Camera/Drone Policy:

Photography and video are permitted by all participants and guests. By attending the event you grant the event organizers full rights to use the images resulting from the photography/video filming, and any reproductions or adaptations of the images for fundraising, publicity, or other purposes to help achieve the group’s aims. This might include (but is not limited to), the right to use them in their printed and online publicity, social media, press releases, and funding applications. If you do not wish to be photographed please inform an event organizer. 
The use of action cameras is allowed as long as the camera is solid-mounted. If using a suction-cup type of mount, you must have a secondary tether securing the camera in case the mount becomes loose. Drones are prohibited with the exception of approved members of the media in accordance with all FAA rules. 

Alcohol and Substance Policy:

Groesbeck Grand Prix participants are forbidden from consuming alcohol or other performance altering substances prior to completion of any on motorsport activities. This includes, but is not limited to, medication and prescriptions that expressly forbid operating vehicles or heavy machinery. There will be no sale of alcohol at the Groesbeck Grand Prix.


Camping Policy: 

Participants and spectators who have pre-booked RV or Tent camping on-site at Old Fort Parker may cook using camping stoves or portable grills. Drivers who are dry camping in the pit area do not require an additional reservation. No open fires allowed. Showers and restrooms are available on-site. Please reference the site map at registration. Please be respectful of other campers and the historic property the event is being hosted on.

Move-In/Move-Out Policy:
Participants and Vendors may move in after 3 PM, Friday, September 3rd, 2021. Move-In should be completed before 10 AM, Saturday, September 4th, 2021. Participants and Vendors must move out by 10 AM, Tuesday, September 7th, 2021. Special arrangments may be considered by event and property management please email GP@satterfieldgroup.com with any special requests or to extend your stay at Old Fort Parker.
